Application for access to your personal data held on West Yorkshire Police information systems

Section 7(1)(a) & 7(1)(b)(i) & 7(1)(c)(i) of the Data Protection Act 1998 (Subject Access)

Your Subject Access Rights
Subject to certain exemptions, you have a right to be told whether West Yorkshire Police holds any information about you (your ‘personal data’) and a right to be provided with a copy of that personal data within a 40 day period.

If you wish to exercise those rights please complete this form carefully and follow the instructions regarding the £10 fee, proof of identity, and ways to return the form.

The Data Protection Act means that in certain circumstances West Yorkshire Police may decide not to provide you with some personal data. For example, we will not provide personal data if we feel releasing it to you would be likely to prejudice policing purposes, and we may not provide you with information that identifies other individuals.

Please Note:

  • Once we have received and accepted your application, the process to provide you with information can take up to 40 days.
  • The information supplied in connection with this application will be used for the purpose of administering this request and to ensure the accuracy of Police systems.

Proof of Identity
West Yorkshire Police needs to be satisfied that you are who you say you are. Consequently you need to provide evidence of your identity and address by supplying copies of at least two official documents which between them provide sufficient information to prove your name, date of birth, current address and signature. If you require these documents returning then please include a stamped addressed envelope. 

You will be required to send identification documents to both ACRO and West Yorkshire Police with your applications. Please ensure that you have noted on the SA1A application that you have submitted both requests.

Requests for Information for Employment Purposes

West Yorkshire Police does not provide PNC (Police National Computer) disclosure for employment vetting services. If you require a disclosure for UK employment purposes, please contact Disclosure Scotland on: 0870 609 6006 or via their website  The current procedure whereby companies require individuals to exercise their rights under Subject Access provisions at section 7 of the Data Protection Act 1998, as a form of vetting, has been considered to be unlawful for many years and is against the spirit of the legislation. From 1st December 2014 Section 56 of the Act will be implemented and it will be a criminal offence for the employer to ask individuals, as a condition of employment, to go through this process.


Third Party Application

We can only supply your personal data to you. Should you be making an application on behalf of any other person (third party), please ensure you enclose an original letter of authorisation from that individual (the person who the information is about). Please also ensure that this individual has signed the application form and provided their identification documents.


How to apply for both types of information

Please be advised that should you wish to complete both an ACRO SAR1 and a West Yorkshire Police SA1 you are only required to pay one statutory fee of £10 which should be sent to ACRO with your ACRO SAR1 application.

Your West Yorkshire Police SA1 request should be sent directly to us at the above address and you need to note you have also submitted the form to ACRO.

If you are only  submitting a West Yorkshire Police SA1, cheques etc. should be made payable to ‘West Yorkshire Police’. Postal Orders must be UK Postal Orders. Cheques etc. should be made payable to ‘West Yorkshire Police’. Postal Orders must be UK Postal Orders.
